7 How to clean up your Style Gallery … permanently

The Quick Styles area, a.k.a. Styles Gallery (Word 2016)

Have you ever noticed that long list running across the Home tab? That's called the Style Gallery. It's where all the Quick Styles (the most accessible Styles) are kept. (Those aren't the only Styles Word has. There are actually over 200 of them!)

But you may not necessarily want to use all of them, and some of them are just in the way. (Like, "No Spacing"? When am I going to use that?) That's the situation one reader found herself in.

Jennifer has been working her way through my Styles course and came across a recurring problem:

I've tried removing certain styles from the Style Gallery menu, but
they come back when I open a new document. Is there a trick I'm
missing?

2 Reader Question: Getting changes to the Normal template to “stick”

In response to my last post, I got this comment from a reader:

I am so tired of having to fix [settings] with every document. I also clicked on “new documents based on this template” and it did not stick on future documents. I was able to change my default font and that ridiculous 1.15 line spacing. I work in academia and they still always want 1″ margins all the way around and I got so frustrated with Word’s default left and right margins of 1.25. I finally fixed that but I cannot remember how I did it.

Dolores hits on an important point: clicking the radio button next to “new documents based on this template” in the Modify Styles dialog box doesn’t always make the change “stick” to the Normal template, so you’re sometimes stuck revising settings like default paragraph spacing and margins repeatedly. (I say “sometimes” because whether or not a setting sticks seems to be pretty random.)

So why does this happen, and what can you do about it? Keep reading →

Reader Question: The macro that won’t save

An attorney reader (whose employer is using Word 2003) contacted me about a curious macro problem:

I have created a macro for my signature for e-filing, etc., and it works in any document I open.  I want to create a couple of other macros to automate some typing I have to do in documents before saving them.  I have created the macros numerous times, and they work just fine to begin with, but they will not work once I have restarted the computer!  It’s like I can’t figure out how to save the new ones permanently.  I’ve been unable to make heads or tails of the help from Microsoft either.

This is not the first time I’ve heard of macros not saving, but this was a little different. After doing a bit of digging, I suggested these items for him to check:

26 What’s the deal with Word 2007/2010 line spacing?

If you’ve upgraded to one of the ribbon-interface versions of Microsoft Office recently, you may have noticed that every new document you create (as opposed to editing or making new documents from earlier ones) has this weird, more open line spacing.

What’s the story?
